- How to add task/meeting/milestone from calendar ?
You can create a task, meeting , milestone or discussion from the calendar on any particular date.
Over each of the dates, you will see icons TD-New Task, MS-New Milestone and ME-New Meeting.
If we get the facility to synchronize the calendar and tasks with Out Look, then i Zoho can be very effective for our company.
I am also looking for ways to synchroize my zoho calendar with my outlook calendar. Let me know if it is possible.
It would also be great if I could synchronize zoho calendar with my google calaneder.♠
@qaftab
Currently Zoho Projects calendar can be synchronized with Google Calendar and not with Outlook. Synchronizing Outlook with Zoho Projects calendar is in our feature list and will be rolled out in future as per the priority.
Steps to synchronize Zoho Projects Calendar with Google Calendar:
1. Login to your portal.
2. Click "My Work Calendar" in My Home page.
3. Use the iCal / gCal link on the bottom of the "My Work Calendar" page to subscribe with the external calendar (Google Calendar).
When I click gCal link in my Explorer the system tries to connect it with my outlook. However when I open it with firefox it gives me a choice of Outlook or 30 Boxes. I do not see how to link it with Google Calendar. Please explain in detail.
Steps to synchronize Zoho Projects calendar with Google Calendar.
1. Login to your portal.
2. Click "My Work Calendar" link in the Home Page.
3. Right click on the gCal link provided at the bottom of the "My Work Calendar" Page and click "copy link location" from the menu.
4. Login to http://calendar.google.com
5. Click "Add" link under Other Calendar menu on the left side of the window and select "Add URL" option from the menu.
6. Paste the copied gCal link and click "Add" button.
Once done Zoho Projects calendar will be synchronied with Google calendar.
Notice that the Calender view or the Time calculations does not exclude Public Holiday, therefore the available days to complete task is inaccurate ? is there any way to key in public holiday and let the task allocated date to exclude Public Holiday?
@ivtang
As of now, excluding public holidays from Calendar View or Timesheet is not possible.
We are working on Customization feature for Zoho Projects and once this feature is rolled out the users can define their working days & public holidays.
if it could be sync'ed with outlook that would be great for our needs
Synchronizing Zoho Projects Calendar with Outlook is under progress and will be rolled out in future.
I will keep you informed once this feature is rolled out.
"Once done Zoho Projects calendar will be synchronied with Google calendar."
Does this mean that after I do this, if I add a Milestone on a project, it will show up also in Google Calendar automatically?
OR each time I add sth to my project Calendar, I must copy and paste tis url in Google Calendar?
Thank you in advance.
For Google Calendar, you must copy & paste the gCal URL each time to get the Zoho Projects events in Google Calendar.
i.e. If you create a milestone in your Zoho Projects, then you must copy & paste the gCal URL, in order to get the newly created milestone in your Google calendar.
@Prasanna
I add a Milestone. I see it added my work calendar. But when I copy and paste again the gcal URL to my Google Calendar, the new added Milestone does not appear.
I must also note that the Gcal link on the work calendar page remains the same after I add the new Milestone. So what is the point to copying and pasting it again into Google Calendar?
Having a collaborative calendar (Google Calendar) that syncs with our project management system is very important for us.
I am interested in seeing all of the milestones as a bar throughout the calendar for all projects as you say should happen but it seems not to be working. It is very important for us to see all current projects throughout the whole company on one calendar to plan workload accordingly. When will this be fixed/addressed?
Is there a way that I can see a weekly view with all projects and persons ? Like a summary ? I don't want to see individual tasks, but If I have 10 persons I could see their availability for that week. Also I create a fake person to mimic Events, training, special holidays etc.. That would help to see conflicts. thanks
How do I set the schedule of working days of the company? In order to register to work Saturdays, Sundays and holidays are automatically ignored and the tasks are distributed only in the days of the week?
Greetings,
Is it possible to view an overall calendar in order to see all of the separate projects together on one calendar?
orchardstreet,
Yes, all the project events across all projects can be viewed in a single view with the help of My Work Calendar.
Click 'My Home' link on the top portion of the window --> click 'My Work Calendar' link --> view all the project events across all projects.
Note: Its possible to view all project events across all projects but not possible to view all project events for all users at a single calendar view.
when looking in my work calendar, I have noticed that certain todos have no shown up on the calendar. is this what you mean by saying
"not possible to view all project events for all users at a single calendar view"
By logic, thinking that the Administrator is actually a manager of projects, it is essential that at least this user to have an overall schedule, with the tasks of individual users. Why this is not possible?
Whenever I click on Tasks & Milestones tab, I can't see the tasks's start date and end date on the same line. It is annoying to see only the end date of the task ( with the no. of days ) , whereas I am more interested in the Start End date. Please let me know if this is possible ( or else correct me if I am wrong ).
@ enalanda ,
As of now, only the tasks end date along with no.of days are displayed. Displaying task start & end date will be provided in future.
According to ISO 8601, weeks begin on Monday. Yet the project calendar begins weeks on Sunday. Have you considered making the international standard the default calendar view?
@ rw34oc,
Thanks for mentioning the ISO 8601 standard. We have already considered providing the project calendar as per the international standards.(week beginning on Monday & ending on Sunday)
I will keep you informed once the project calendar is updated as per the standards.
Is the calendar document for syncing the iCal with the calender updated constantly?
I just started a project yesterday, but the download syncing document is empty (nothing shows up in my iCal, when importing it).
This should really be updated with every single change.
Is it not?
How do I set the schedule of working days of the company? In order to register to work Saturdays, Sundays and holidays are automatically ignored and the tasks are distributed only in the days of the week?
How do you print the calendar?
@joeoreileen,
Currently, print option is not available in Zoho Projects, which will be available in our next update.
Until then, use browser's print option to print the modules of Zoho Projects.
I am really confused by the following statement earlier in the blog, "Note: Its possible to view all project events across all projects but not possible to view all project events for all users at a single calendar view." Can you please clarify this? What is considered a project event?
@annelouisebrooks,
Project Events infers Tasks, Meetings and Milestones in that project.
As mentioned in blog, it's possible to view project events for a particular user across all projects. But it's not possible to view project events of all users across all projects.
When syncing with Google Cal, it is importing in the wrong timezone and thus displaying the incorrect times. I am trying to use Central Time and have selected that timezone on my company information tab. Is there a specific "Central" time that I need to select in order for Google to import correctly?
@affnashville,
If the timezone set in Google Calendar is different from the timezone set in your projects account, then all the project activities will be displayed as per the timezone set in Google Calendar.
To avoid this make sure that the time zone in your projects account and Google Calendar are the same.
