Can you post some description on what the difference is between a regular user and a "client" user?
The difference between normal user and client user lies in the access privilege.
A normal user can access all the modules of a project whereas client user can access only limited modules like Dashboard, Tasks & Milestone, Documents and Forums.
Client users can view a milestone and its associated tasks only if that particular milestone is set as external.
This access privilege is to avoid the confidential data (like timesheet, reports) being exuded to others.
if a new user was added and lots their email that had the login and password, how can that be resent??
If a user loses his/her password, then the user can follow the steps mentioned below to reset the password.
1. Visit http://projects.zoho.com and click on "Forgot Password" option.
2. Enter the email address to which the password reset link has to be sent.
3. Click the link in the email and reset your password.
Once done the user can login to his/her projects account using the new password & login name.
I really like the project suite and would like to move all of our internal project management over to Zoho. However, there seems to be something pretty crucial missing, and that is the ability to set up a client (a company or person) profile with relevant contact information and associated it with a project.
Thanks for your compliments. Follow the steps mentioned below to associate a client to a project.
1. Login to your portal.
2. Click the project (from the project panel on the left side of the window) to which the client has to be associated.
3. Click "Users" tab and click "Add Client User" button.
4. Click "Add Project Client" link, enter the client company name, client email Id and click "Update Project Client Users" button.
Once done the client user will receive login credentials via mail with which the client user can start accessing the project.
After logging into the project, the client user can update his/her contact information.
Zoho is really quite good. My "clients" however may not be (are not) as technically apt as some. And may lose passwords, not verify email address etc. How can I reset password, or resend email address confirmation to a client?
Thank you for your response to my earlier post. I am sorry I was not more specific. We do not need/want our clients to have access to this system, so we will not be sending them invites or creating logins for them. But we do still need a way to create client profiles without them having to manage it. Our clients are fairly high-profile, and CEOs do not spend the time making sure their profile is up-to-date for our convenience. We take care of all that internally.
@ bocoughlin,
Only the respective client user(s) can reset password and resend email confirmation mail.
To reset password,
1. Visit http://projects.zoho.com and click on "Forgot Password" option.
2. Enter the email address to which the password reset link has to be sent.
3. Click the link received in the email and reset your password.
To resend confirmation email,
1. Visit http://accounts.zoho.com
2. Login with your user name and password you use for logging into your portal (projects account)
3. Click "My Email IDs" on the left side menu.
4. Click "resend confirmation mail" icon (shown to the right of the email address) to resend the confirmation email.
5. Click the link received in the email and confirm your email address.
Is access to the project limited only to users and clients, as we define them? Is it by our invitation only, or can anyone in the general public access any project details?
I have two email accounts that have been invited to different projects and I would like to consolidate them under one login. When I try to add my second email to My Email IDs, I get an error message stating "Email address already exist[sic]" Is there a way to access both projects from one account?
@ smshogren
No, its not possible for anyone (general public) to access the projects. Only the users and client users added to a project can access the projects.
Is there a way to get clients of a specific project to become clients of other projects easily? Or do we have to invite them separately for all the projects?
Hi.
We need to have some tasks and/or milestones that are visible only to project owner/manager and not simple project members. Client users is not enough.
For example we need project members that can log time in a project but will not be able to see some aspects of the project (i.e. financial date).
Is this possible?
Adding on the above comment: when I add a task, I get to pick members and owner for the task. But in the members list, there is *always* the 'any user' selection. Why can't I select only some users to be able to see the task?
Same goes for the files- all project members have access to view them.
Since we want our company to move all our project data online, we need to have some data on the project, that not all members can see.
Any form of data will do- a file, a task, even a note. We we must be able to restrict the access to it.
How can we do this?
Is there any
Client user added in one project can be easily added to another project by selecting them from the "All Client User" drop down (without inviting them separately for that project).
This is because once a client user is added to a project, that particular client user will be added to the Organization (company) and will be available to be added in all the projects in that portal.
@mike_bio, @ftiaxeto,
Currently, its not possible to restrict any particular project member from accessing file(s), task(s), note(s). And all the files, tasks and notes can be viewed by all the project members of that Portal (except Client User).
Thanks for your suggestion. We will take up your feature suggestions and consider providing the same in future as per the priority.
Too bad, an acces right config per file would be great.
Access rights could be defined at upload time
Excellent tool...
@ Fabrice
Thanks for your compliments. Access rights per file is already taken up in our road map and will be implemented in future as per the priority.
Is there a way to give "view only" access to a member of a project without allowing him to edit, post new task, new meetings, etc?
I noticed that there are 3 user profiles, but all of them allow to edit almost everything. Thanks...
Manager : A Manager has all privileges at the Project level. He can add new projects, folders, add/remove users or schedule meetings.
Contractor : Contractor is the one who works for a project for a specified period of time. After the expiry of this period, the administrator will disable any access to this party.
Employee : Any normal user who works for the project, with access to his documents and privileges to add tasks or upload documents in a project.
Can I restrict the acces to the uploads archives to my employees. I have a confidential archives that I don¡t want to see them
I Add two users one admin and other employee, i created a task using administrator user and assign it to the employee, but when i logged in from the employee account i was able to delete the task given to me by admin. Why is that ?
@ferhanz@gmail.com,
Currently, the system design is such that the user(s) assigned to a task has the privilege to edit/delete that particular task.
Restricting task delete privilege for users (in Employee/Contractor role) is taken up in our feature list and might be provided in future as per the priority.
@K. Daccach,
As of now "View Only" access to the project members is not possible. We will consider providing this feature in future as per the priority.
Is there a way to change a employee user to a client user without deleting them from the company? Our program has run into difficulty because we have already added many users who should be client users, but do not want to Zoho to automate e-mails to all of the users when we delete and re-add them.
@joshua.chappell,
As of now, it is not possible to change the user role from employee to client without deleting and readding the user as client in the company.
Note: User will be notified once he/she is deleted and readded.
Is it possible to assign wage to user? Such feature will be very useful!
@prokop.petr,
Currently, it's not possible to assign wage to a user in Zoho Projects. The user can enter hours in time sheet for the tasks they worked.
How do we delete a Admin user who no long works for the company ??
@stephend,
Admin user can be deleted only by the portal owner.
If you are the portal owner, then login to your portal --> click 'settings' option --> click 'People View' tab --> click 'Delete icon' to the right of the admin user.
