Task

A task, in laymen's terms is a part of a set of actions, which accomplish a job, problem or assignment. In project management, a task is an activity that needs to be accomplished, usually within a defined period of time.

 

Task List

A task list (also known as to-do list) is a group of related tasks. It can also be a major/big task which consists of smaller sub-tasks.


Creating a new Tasklist


  1. Click on Tasks & Milestones.
  2. Click on New Task List to create a new task list.
  3. Enter the Task List name (as shown in Step 4 in the above figure)
  4. Select the relatede milestone from the drop down.
  5. Click on Add task list button.


Creating a Task:



A new Task can be created either by clicking on New Task button or by clicking Add Task link below the Task List name.

 

  1. Enter the task name (as shown in step 7 in the figure).
  2. Select the Project Members to be assigned for the task created.
  3. Check the Send Mail Notification in order to send a mail to the project members.
  4. Click on Add Task button to add the task to the task list.

 

Advanced Options in creating Task:

The advanced options used while creating a task are given below,

 

 

Project Member Selection:

Task is assigned to various members in a project. Assigning of task can be done for either single member or for multiple members in a project.

a. In case of single member, select the required user and click on to add the member to the task.

b. In case of multiple members, select the required members by holding the CTRL key in keyboard and click on to add the members to the task.

 

Duration:

This option is used to select the required period of time to complete a task. There are two method in selecting the duration for a task.

 

a. Selecting Start Date and End Date using calendar.

b. Selecting Start Date using calendar and entering the no.days required to complete a task.

 

Priority:

Priority specifies the order in which tasks should occur relative to other tasks. There are three types of priority level as High, Medium and Low.

 

Percentage Completed:

This option is used to indicate the percentage of the task completed in a project.

 

Types of Tasks

There are two types of tasks namely


Internal Task

These are tasks generated for the members within a project. Clients cannot view the internal tasks.


External Task

These are tasks that can be viewed by the members of a project and also by the external user like clients.


Options associated with Tasklist & Tasks

The below picture shows the Tasklist and Task created and the options associated with.


Re-order Tasklist

This option is used to re-arrange the sequence of tasklist in a project.


Export


1. Click on Export (Step 1 as in Figure shown above)

2. Select Login name from the dropdown (Step 2 as in Figure shown above)

3. Select Status from the dropdown (Step 3 as in Figure shown above)

4. Select the required Format from the dropdown (Step 4 as in Figure shown above)

5. Click on Export (Step 5 as in Figure shown above)

Timer

This option is used to calculate the time taken by an user to complete a task which inturn gets logged in the timesheet automatically.


Move Task

This option is used to move a task from one tasklist to another within a project.


Delete

This option is to delete the task in case of not requiring the same

Edit

This option is used to edit the task like changing the task name, adding or removing project members for a particular task.

Re-order

This option is used to re-arrange the sequence of tasks under a task list.

Make as Template

This option is used to make an already created task or a tasklist into a standard template containing the layout and styles, which can be used for other projects.

Notes

This option is used to add a note regarding the task for easier understanding and reference in the course of the project.
